PGI Student Portal

Privacy Policy

Prof. Greg's Institute (PGI) Student Portal · Last updated 24 October 2026

This policy explains what personal information the PGI Student Portal collects, why, who it is shared with, how long it is kept, and your rights under the Nigeria Data Protection Act 2023 (NDPA).

1. Who we are

The portal is run by Prof. Greg's Institute (“PGI”, “we”), which decides how your information is used (the “data controller”). Address: Umuonyenze Atta, Ikeduru, Imo State, Nigeria. Contact: the Help page, email fortunechika548@gmail.com, phone 07034367454, WhatsApp 08107872400. Open every day. The portal is available 24 hours a day.

Data protection contact: Fortune Chika (fortunechika548@gmail.com). The school has not yet appointed a Data Protection Compliance Organisation (DPCO). The school has no other privacy policy; this policy covers the portal.

Prof. Greg's Institute is affiliated with Peaceland College of Education. This portal is run by Prof. Greg's Institute; it is not a Peaceland College of Education website.

2. What we collect

  • Profile: your name, email address, phone number, department, programme (4-year, 6-year or Master's), and study level (undergraduate students).
  • Picture: the photo you upload, used on your exam card after staff approve it.
  • School records: your PGI registration number (undergraduate students), the courses you register, your clearance, exam card details, and your results (scores, grades and GPA).
  • Payments (bank transfer): what you paid for, your payment code, the name on the account the money came from, the amount, the date and time of the transfer, which school account you paid into, and the receipt screenshot or PDF you upload. We never ask for your card details, PIN, password or one-time codes.
  • Receipts you choose to upload (optional paid service), and help messages you send us.
  • Result sheets uploaded by staff, which contain students' names (as written by examiners), registration numbers and scores.
  • Technical information: login cookies (see section 8), and a scrambled (one-way coded) form of your internet address, kept for one day to stop repeated guessing and spam.

3. Why we use it

  • To create and run your student record: registration number, course registration, clearance and exam card.
  • To take payments by bank transfer, check them against the school's bank account, prevent fraud (for example the same receipt or transfer being used twice), and refund overpayments.
  • To record, check and publish your results, and to link results on paper sheets to your profile.
  • To check that a printed clearance is real (see section 5), to answer help messages, and to keep the portal secure.

We rely on these lawful bases in the NDPA: performing our agreement with you as a student, our legitimate interests in running the school safely and accurately, and complying with the law.

4. Reading result sheets with AI (Anthropic)

The school may switch on automatic reading of result sheets. When AI reading is switched on, photos of paper result sheets, which show students' names, registration numbers and scores, are sent to Anthropic (the company that makes the Claude AI) so that its AI can read them and turn them into text. Staff then check every line by hand before any result is published.

Anthropic's commercial terms say that it does not use data sent through its API to train its AI models. Anthropic may keep the data for a limited time to provide the service and to prevent misuse, as described in its own privacy policy.

When AI reading is switched off, result sheets are typed in by school staff and are not sent to Anthropic.

5. Who else sees your information

  • School staff, only as their role needs: results staff see names and registration numbers for results work; finance staff see payment records; the owner sees everything. Every important change is recorded.
  • Anyone who scans the QR code on your printed clearance or exam card sees only your name, approved picture, registration number, level, contact and whether the clearance is valid.
  • Service providers who process data for us: Supabase (database and file storage, in the European Union, Ireland), Vercel (website hosting), Resend (sending emails), and Anthropic (AI reading of result sheets, only when switched on).

Your bank transfer itself goes through your bank and the school's banks (First Bank and Moniepoint) like any other transfer; the portal does not send your information to these banks.

We do not sell your information or use it for advertising.

6. Information stored outside Nigeria

Some of our service providers store or process data outside Nigeria (for example, our database is in Ireland, in the European Union). We use providers that protect personal data to a standard the NDPA accepts.

7. How long we keep it

  • Results and basic records (your name, registration number if you have one, department, programme, levels or semesters, registered courses, clearances and results): kept permanently, so that former students can get their results and records years later.
  • Payment records: kept for 6 years.
  • Phone numbers, pictures and receipts (payment receipts and receipts uploaded with the receipt service): deleted 2 years after you leave the school.
  • Help messages: deleted from the portal 3 days after we reply, by an automatic daily deletion job. The copy emailed to the school's inbox is deleted by staff at the same time. Messages we have not yet replied to are kept until we reply.
  • Scrambled internet addresses used against guessing and spam: about one day.
  • The audit log (a record of important changes, such as who approved a picture or published a result) cannot be changed or deleted, so that school records can be trusted.

8. Cookies

The portal uses only the cookies it needs to keep you logged in securely. It does not use advertising or tracking cookies. See the Cookie Policy for the full list.

9. How we protect it

Pictures, receipts and result sheets are stored privately and shown only through short-lived links. Payments are confirmed only by finance staff or the owner after checking the school's real bank account, and a confirmed payment cannot be changed afterwards. Staff accounts need an invite code and a strong password, and each staff member sees only what their role needs.

10. Your rights

Under the NDPA you can ask us to:

  • tell you what information we hold about you and give you a copy;
  • correct information that is wrong (some details, such as your level, are changed only by the school);
  • delete information we no longer need (we must keep some school and payment records);
  • stop or limit some uses of your information, or object to them.

Contact us through the Help page. If you are not satisfied with our answer, you can complain to the Nigeria Data Protection Commission (NDPC).

11. Changes to this policy

If we change this policy, we will update this page and its date, and tell students about important changes.
